Booking Terms and Conditions
1. General
These Booking Terms and Conditions apply to all clients engaging the services of PageSix Transcription Services Limited (“PageSix”, “we”, “us”, “our”).
By completing and submitting our online booking form, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions in full. These Terms constitute the service agreement between you (“the Client”) and PageSix.
2. Authorisation
By completing our online booking form, you confirm that you are authorised to place the booking on behalf of the organisation, institution, or company you represent.
Where applicable, purchase order numbers, project codes, or internal references should be provided at the time of booking via the “Special Instructions” field. We understand that institutional PO processes may take time and recordings may be submitted while these are being arranged.
3. Accuracy and Service Scope
PageSix provides professional transcription and transcription editing services using experienced, UK-based human transcribers. All work is subject to quality control procedures prior to delivery.
The accuracy of the final transcript is dependent on the quality of the audio or video recordings supplied. Factors such as background noise, poor acoustics, overlapping speech, strong accents, or technical interference may affect transcript quality and result in marked inaudible sections or uncertainty.
To support accuracy, clients are encouraged to provide:
Speaker names or preferred labels
Relevant glossaries, terminology, or acronyms
Contextual or preparatory information where available
PageSix reserves the right to decline or cancel a booking where the recording quality is so poor that a meaningful transcript cannot be produced. In such cases, clients will be notified in advance.
4. Turnaround Times
PageSix will make every reasonable effort to deliver transcripts within the turnaround time selected at the point of booking.
In the unlikely event that a delay is anticipated, we will contact you as soon as possible to discuss revised timelines. Delays may occur due to poor audio quality or insufficient contextual information.
5. Confidentiality and Data Protection
PageSix treats all client data as strictly confidential.
All transcription and editing work is carried out exclusively by UK-based human transcribers who have signed confidentiality agreements and Non-Disclosure Agreements prior to undertaking any work.
Data Protection and GDPR
For the purposes of UK GDPR:
The Client acts as the Data Controller
PageSix acts as the Data Processor
We process personal and sensitive data solely for the purpose of providing the agreed transcription services and strictly in accordance with the Client’s instructions.
Client audio files and transcripts:
Remain within the UK at all times
Are transmitted via secure, encrypted systems
Are accessed only by authorised personnel involved in the transcription process
Files and transcripts are securely deleted or destroyed within 30 days of invoice settlement, unless alternative retention or deletion instructions are agreed in writing.
PageSix is happy to sign client-specific Non-Disclosure Agreements or Data Processing Agreements (DPAs) where required, including those issued by universities, NHS bodies, or research institutions.

6. Hybrid Transcription Services
Where a Hybrid Editing Service is selected, PageSix does not generate automated transcripts.
Hybrid services are limited to the human review and correction of draft transcripts generated within the Client’s own systems (for example, Zoom or Microsoft Teams). Responsibility for the creation, accuracy, and data handling of the original automated draft transcript remains with the Client.
7. Payment Terms
Unless otherwise agreed in writing, invoices are issued monthly and payment terms are 14 days from the invoice date.
PageSix reserves the right to apply statutory late payment interest and recovery costs in accordance with the Late Payment of Commercial Debts (Interest) Act 1998 for overdue balances.
8. Copyright and Ownership
By submitting recordings for transcription, the Client warrants that they hold all necessary rights and permissions to use the audio or video materials provided.
The Client retains full ownership and copyright of both the original recordings and the completed transcripts. PageSix claims no intellectual property rights over client materials or transcripts.
9. Limitation of Liability
PageSix’s total liability for any claim arising from the provision of services, including negligence or breach of statutory duty, shall be limited to twice the total value of the transcription order to which the claim relates.
Nothing in these Terms limits or excludes liability for death or personal injury resulting from negligence, or any liability which cannot be excluded under English law.
10. Miscellaneous
If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
These Terms constitute the entire agreement between the Client and PageSix in relation to the services provided and may only be varied in writing.
11. Governing Law and Jurisdiction
These Terms shall be governed by and construed in accordance with English law and shall be subject to the exclusive jurisdiction of the English courts.
